0:00|0:00

Learn why slow review responses are costing small businesses sales, and how replying within 24 hours can turn unhappy customers into repeat buyers. The episode also shows a 30-second AI workflow for drafting replies that still sound human, plus a simple 15-minute challenge to clean up overdue reviews.

Chapter 1

The 24 Hour Review Gap That Costs Small Businesses 18 Percent in Sales

Grant Calloway

You know, back when I was running order flow on the floor of the New York Stock Exchange, if a sell order came across the post and you just... well, if you just let it sit there on the wooden railing for six days, people didn't say you were busy. They said you were insolvent. They took your badge.

Grant Calloway

And yet, right now, in the local business world, that is... that is literally what three quarters of shop owners are doing with their own order tickets. I mean, look at the numbers coming out right now. We know that 97 percent of consumers read reviews before buying. Ninety seven percent. That is... that is virtually the entire market. But here is where the tape gets really tight. BrightLocal just put out their updated data showing that 32 percent of consumers now expect a response to their review by the very next day. That is up from 18 percent just a year ago. And same day expectations? They tripled in a single year, jumping all the way up to 19 percent.

Grant Calloway

So the crowd on the street is moving fast, fast, fast. But how fast are small businesses moving? Well, the latest research from Podium shows that taking two to six days to reply is still the standard average. Worse than that, 75 percent of businesses don't respond to negative reviews at all. Three out of four! They just leave the negative feedback hanging out there in public like a bad tick on the tape.

Grant Calloway

Think about what you are throwing away when you do that. Replying to customer reviews, good or bad, boosts overall sales by an average of 18 percent. And when you actually take the time to address an unhappy customer? You convert 73 percent of dissatisfied customers into repeat buyers. Seventy three percent! In my old line of work, if someone told you that taking thirty seconds to answer a ticket would rescue 73 percent of failing trades and pop your top line by 18 percent, you would hire three clerks just to stand there and stamp the paper. Leaving those reviews untouched for a week is active brand equity destruction. You are letting gold rot on the floor while the market walks right past your door.

Chapter 2

The 30 Second AI Draft Workflow Without Sounding Like a Robot

Grant Calloway

Now, I, I, I get the pushback. I really do. When I talk to local business owners, they say, Grant, I am already working fourteen hour days fixing pipes, baking bread, or managing staff. I do not have time to sit down every evening and draft thoughtful essays to every single person who leaves a comment on Google. Fair enough. But you do not have to write them from scratch anymore.

Grant Calloway

This is where modern software actually earns its keep. If you fire up ChatGPT, or if you use Google's built in Business Profile AI assistant right inside your account, drafting a response drops from a ten minute head scratcher down to under thirty seconds. It takes you from struggling to reply to maybe five reviews a month all the way up to a ninety to one hundred percent response rate across the board.

Grant Calloway

But, and here is the giant caveat, do not just hit auto publish on raw machine output. Please. Eighty percent of consumers say they instantly reject canned, generic replies. If a customer writes a sincere note about a cold soup or a late plumber and you hit them back with, Thank you valued customer for your input, we strive for excellence, you might as well have posted a middle finger. It feels fake, it feels lazy, and it destroys trust.

Grant Calloway

That is why you need the non negotiable ten second human edit rule. Let the AI generate the foundation in ten seconds. Then you spent ten seconds reading it, dropping in the person's name, mentioning the specific thing they bought or experienced, and checking the tone. Ten seconds to generate, ten seconds to tweak, ten seconds to post. Thirty seconds total per review. Doing that routinely can save a busy store owner upwards of five full hours every single month while keeping every single response feeling 100 percent real.

Grant Calloway

Let me give you a real example of how this plays out in the real world. We saw a local service business run an automated post service workflow using simple text messages paired with targeted ChatGPT prompts. They sent out 158 feedback requests over a two week window. That simple outreach generated 18 brand new, five star Google reviews, resulting in a 63 percent response rate overall. In two weeks! That completely shifted their local search ranking in their town. That is why ChatGPT is our recommended tool of the week. It takes the heavy lifting off your desk without taking your voice out of the room.

So here is my fifteen minute challenge for you today. Do not put this off until next quarter. Right now, go open your Google Business Profile. Pick three recent reviews that have been sitting there unmanaged. Copy them, paste them into ChatGPT, and use a prompt like, Draft a warm, concise, professional response addressing these specific points. Take those drafts, apply your ten second human edit to make them sound like you, and hit publish. You can clear your board in under fifteen minutes flat. Give it a shot today. Talk soon.
